Cancellation & Refund Policy

1. General Policy

At Genius Limo, we understand that travel plans can change. This Cancellation & Refund Policy sets out the terms for ride cancellations and refunds for our services, including City-to-City Rides, Airport Transfers, Hourly Hires, Chauffeur Services, Luxury Limousines, Corporate & Business Travel, and Event Services.

2. Client Cancellations

a) Standard Rides (City-to-City, Chauffeur, Hourly Hire)

  • Free Cancellation: Up to 24 hours before the scheduled pickup time.
  • Late Cancellation (within 24 hours): Up to 100% of the base fare may be charged
  • No-Show (15 minutes after pickup time): Full fare will be charged.

b) Airport Transfers

  • Late Cancellation: Within 24 hours, up to 100% of the fare will be charged.
  • Flight Delays/Cancellations: No charge if proof of flight disruption is provided.

c) Event Services (Weddings, Corporate, Conferences)

  • Free Cancellation: Up to 7 days before the event.
  • 50% Charge: For cancellations within 7 days but more than 48 hours before service.
  • 100% Charge: For cancellations within 48 hours of service.

d) Prom & School Dance Transportation

Prom, homecoming, graduation, and school dance transportation are considered special event services due to limited vehicle availability, high seasonal demand, and advance scheduling requirements.

  • Deposit: A non-refundable deposit may be required to secure the vehicle and reservation date.
  • Cancellation 7+ Days Before Service: Client may cancel the booking; however, the deposit and any processing/booking fees are non-refundable.
  • Cancellation Within 7 Days of Service: Genius Limo will charge 100% of the deposit, and the deposit will not be refunded.
  • No-Show: If the passenger/group is not present at the scheduled pickup time after the allowed grace period, the full fare may be charged.
  • Date or Time Changes: Changes are subject to vehicle availability and may result in additional charges.
  • Behavior & Safety: Genius Limo reserves the right to end service without refund if passengers engage in unsafe, illegal, disruptive, or damaging behavior, including underage alcohol/drug use, smoking/vaping inside the vehicle, fighting, or property damage.
  • Damages & Cleaning Fees: Client is responsible for any vehicle damage, excessive cleaning, spills, stains, or biohazard cleanup caused by passengers.

3. Affiliate & Driver Cancellations

Affiliates or drivers must notify Genius Limo immediately if unable to fulfill a ride. Repeated last-minute cancellations or no-shows may result in:

  • Suspension or termination of partnership.
  • Penalties as defined in the Affiliate Agreement.

In such cases, Genius Limo reserves the right to reassign the trip to another affiliate/driver.

4. Refunds

  • Approved refunds will be processed to the original payment method within 7–10 business days.
  • Processing fees (e.g., credit card fees, booking fees) may be deducted.
  • Refunds will not apply in cases of client no-shows or late cancellations beyond allowed windows.

5. Waiting Time & Grace Periods

  • Standard Rides & Chauffeur Services: 15-minute grace period included. After that, waiting time charges may apply as per the agreed hourly rate.
  • Airport Transfers: 45-minute grace period for international flights; 30 minutes for domestic flights.

6. Force Majeure

Cancellations due to circumstances beyond control (extreme weather, government restrictions, natural disasters, strikes, etc.) will not result in penalties. Refunds or credits will be provided on a case-by-case basis.

7. Modification of Bookings

Clients may reschedule rides (subject to availability) without penalty if changes are made within the free cancellation window. Price differences may apply for rescheduled services.
