A trip with several cities can include airports with similar names, overnight flights and a different hotel every night. Airport transportation is easier to manage when each ground journey has its own complete reservation.
Use this guide when coordinating airport rides across confirmed Genius Limo service areas. It focuses on organizing the itinerary; individual airport guides provide the local arrival details.
At a glance
Create one entry per transfer: airport code, arriving or departing flight, local date, passenger contact, exact ground address, bags and pickup preference. Confirm availability and meeting instructions separately for every airport.
01
Copy the airport code from the flight itinerary
Do not choose an airport from the city name alone. Washington-area IAD and DCA are different locations; New York’s JFK and LGA are separate airports. A flight change can also move the arrival to a different airport.
Browse the
airport service directory and confirm the airport and ground address on the quote. For Washington-area choices, read
the IAD, DCA and HEF guide.
02
Use the local date for each flight leg
An overnight flight may leave one day and arrive the next. Enter the date and time shown for the airport where the car is needed. For connecting flights, use the final flight into that airport, not the first flight on the ticket.
- Separate departure and arrival dates.
- Identify the flight that reaches the pickup airport.
- Send a replacement itinerary after a cancellation or rerouting.
03
Keep a separate ground address for every city
A hotel brand or office campus name may identify several entrances or locations. Supply the full street address and the visitor entrance. If an assistant or agent books the trip, have the traveler check the final destination before travel.
For an airport-to-hotel reservation, use the
airport transfer checklist. Add any planned stop before the hotel rather than treating it as part of a direct transfer.
04
Match each leg to the passenger and luggage list
A colleague may join halfway through the trip, or the return may include conference materials. Review the party and bags for each journey. Confirm child seats, equipment and boarding arrangements with the vehicle assigned to that leg.
The
airport vehicle guide explains why seating capacity alone does not determine luggage fit.
05
Use local guidance for the arrival handoff
Airports have different rules for prearranged cars, taxis and ride apps. The meeting instructions for one airport should not be copied into another city’s reservation. Follow the current instructions provided for the booking.
06
Confirm each reservation and its terms
An airport listing is a starting point for a request, not confirmation of a specific vehicle or time. Review availability, pickup arrangements, waiting and change terms for every leg. Keep the traveler’s contact and the coordinator’s contact distinguishable.
- Save each confirmation with the city and date.
- Check the return airport again before departure.
- Keep meeting instructions accessible offline.
